Privacy Policy

Honda Tsushin Kogyo Co., Ltd. ("the Company") recognizes the importance of personal information and strives to handle the personal information of customers, business partners and employees of the Company, including applicants for the Company's recruitment activities and retirees, etc., (hereinafter referred to collectively as "Customers, etc.") based on the following Privacy Policy.

 

・  The Company shall acquire and use personal information within the scope of consent, after informing the purpose of use and the Company's contact information.

・  The Company shall not use acquired personal information in a manner that may encourage or induce illegal or unjust acts.

・  The Company shall appoint a person responsible for the protection of personal information for each organizational unit that handles personal information, and engage in appropriate management.

・  In order to prevent unauthorized access to and/or loss, destruction, falsification, leakage, etc., of personal data, the Company shall manage personal data safely and strive to ensure, improve and rectify security.

・  The Company shall not provide or disclose personal data to third parties without the prior consent of Customers, etc., except when permitted by laws and regulations.

・  The Company shall appropriately fulfill its checking and recording obligations as stipulated by laws and regulations when providing personal data to (or receiving personal data from) a third party, except in cases where it is not required by laws and regulations.

・  The Company shall educate employees to understand the importance of personal data and to handle personal data appropriately. When employees are entrusted to handle the personal data of customers, etc., the Company shall engage in necessary and appropriate supervision to ensure the safe management of personal data.

・  When entrusting the handling of personal data to a third party, the Company shall provide appropriate supervision to ensure the safe management of personal data.

・  The Company shall respond appropriately when a customer, etc., contacts the point of contact for inquiries regarding their personal data.

・  In the event of an incident involving the leakage of personal data, the Company shall promptly respond to such an extent as is reasonable to minimize damage and take measures to prevent recurrences, based on the philosophy of giving top priority to the protection of customers, etc.

・  In addition to complying with relevant laws, regulations and norms, the Company shall strive to continuously improve its efforts to protect personal information in line with environmental changes.

Handling of Personal Information

Ⅰ. Acquisition and purpose of use of personal information, etc.

The Company acquires information such as customer, etc.'s name, address, telephone number, e-mail address, workplace information (company name, department name, position, address, telephone / fax number, etc.), gender, credit card information*, access logs to the Company's website (IP address, cookies, etc.) and uses it for the following purposes.

*The company does not store credit card information, since credit card information is provided to credit card companies via a payment agent. Credit card information entered by customers is also encrypted with SSL along all routes until it is sent to the credit card company via the payment agent.

  *This information shall not be used for the purpose of acquiring customers' personal information.

Ⅱ. Provision and joint use of personal data

1. The Company shall not provide personal data of customers, etc., to third parties except in the following cases.

(3) When it is necessary for the protection of human life, body or property, and it is difficult to obtain the consent of the customer, etc.

Ⅲ. Matters Related to Security Measures 

The Company implements necessary and appropriate security measures for the management of personal data (This includes personal information that we have obtained or are about to obtain and which we intend to treat as retained personal data.), including preventing the leakage, loss and destruction of such data. The Company also exercises necessary and appropriate supervision over employees and contractors, including subcontractors, etc. who handle personal data. Specific personal data security measures are stipulated under separate rules on the handling of personal information. The main content is as follows.

・The Company has formulated a  Privacy Policy covering matters such as "Compliance with relevant laws, regulations and other norms," "Matters related to security measures" and "Contact point for inquiries, etc., regarding personal information," as well as this Handling of Personal Information, to ensure the appropriate handling of personal data.  

 

(Development of Rules on the Handling of Personal Data)

・The Company has formulated rules on the handling of personal information, setting out matters such as handling methods and the persons responsible/in charge and their responsibilities, at every stage of the process, from collection, use, storage and provision to deletion and destruction.

 

(Systematic Security Measures)

・The Company has established a person responsible for handling clerical work in relation to the handling of personal data and has also clarified the employees who handle personal data and the scope of personal data handled by these employees, and developed a system for reporting to and liaising with the person responsible for handling clerical work  in the event of discovery of an actual or suspected breach of the Personal Information Protection Act or rules on the handling of personal information. 

・The Company implements periodic self-inspections on the status of handling personal data.

 

(Human Security Measures)

・The Company regularly provides training to employees on matters to be considered when handling personal data.

・The Company's work rules include information about the confidentiality of personal data.

 

(Physical Security Measures)

・In areas where personal data is handled, the Company restricts employee access and the equipment which can be brought in and also takes measures to prevent unauthorized persons from viewing personal data. 

・The Company implements measures to prevent the theft, loss, etc. of  electronic media on which personal data is recorded. The Company also implements measures to minimize the risk of personal data being leaked or left exposed by not allowing such electronic media to be carried around inside or outside the office, in principle.

・Similarly, at the data destruction stage, the Company implements measures to ensure that personal data cannot be recovered.

 

(Technological Security Measures)

・The Company uses access control to limit the scope of persons in charge of handling personal information and the scope of the personal information database they handle. 

・The Company has adopted various defenses to protect information systems containing personal data from being hacked or infected by malware.

 

(Assessment of External Environment)

・When handling personal data in other countries, the Company implements necessary and appropriate measures for the safe management of personal data based on an understanding of the systems used to protect personal data within that particular foreign country.

 

 

Ⅳ. Disclosure, correction and suspension of use, etc., of retained personal data

The flow of application procedures for notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use or erasure of personal data held by the Company shall be as follows.

 

1. Please notify the point of contact for inquiries as listed below by e-mail or postal mail stating (1) your name, (2) e-mail address, (3) address, and (4) clarifying the nature of the request, for example as "notification of purpose of use," "disclosure," "correction, etc.," or "suspension of use" of retained personal data.

2. In response to the above request, the Company shall send a Procedure Guide and Application Form to the person in question.

3. Please fill out the application form and send it to the Company by postal mail, along with the necessary identification documents.

4. The Company will respond after confirming the contents of the submitted documents and the identity of the person in question. If the Company is unable to respond to your application, you will be informed of the reason.

5. The Company may request a fee in relation to notification of the purpose of use and disclosure of retained personal data.
